Important Deadlines

  • Special session proposals: February 15, 2015.
  • Paper submission deadline: March 15, 2015.
  • Notification of acceptance: April 20, 2015.
  • Author registration: May 1, 2015.
  • Camera-ready papers: May 10, 2015.
  • Copyright transfer: May 1, 2015.

Author registration

  • Each paper requires an "author registration" by May 1 2015. In the registration form, you must add the title of the paper you are registering. Only one paper can be associated with an individual registration.
  • In the registration form, you will have the option to purchase extra pages (up to two pages).
  • Each paper must have a valid author registration (including extra page charges, if applicable) and must be presented by one of the authors in order to appear in the proceedings and in IEEE Xplore.

Camera-ready Submission

  • IEEE PDF eXpress validation and final submission

  • When you have finalized your camera-ready paper, check and submit the final paper at IEEE PDF eXpress.
    Please note that the pdfXpress website is scheduled to open on May 1. Authors can log in, but papers will not be accepted for validation until May 1.
    To verify that your manuscript meets the IEEE specifications, register to the IEEE PDF eXpress service and check and upload your paper. Enter 35503XP to the 'Conference ID' field. Click 'Create New Title', type the title of your paper into the 'Enter Title Info' text box and click 'Submit PDF for Checking' or ' Submit Source Files for Conversion'. Browse the file and click 'Upload File'. You will receive a confirmation email of the successful upload. The pdf eXpress site will also collect the compatible files for generating the conference proceedings.
    If the paper does not pass the check, you will receive a report about your document. At the IEEE PDF eXpress web site, you can see the found errors and suggested corrections in great detail. Revise the document and check again with IEEE PDF eXpress. Iterate if necessary.

  • IEEE copyright notice on each paper

  • The appropriate copyright clearance code notice is to appear on the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for IEEE Conference Proceedings. Depending on the author's affiliation, the following notice must be included:

    a) For papers in which all authors are employed by the US government, the copyright notice is:
    U.S. Government work not protected by U.S. copyright
    b) For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:

    c) For papers in which all authors are employed by the European Union, the copyright notice is:

  • How to add the IEEE copyright notice on each paper

  • The copyright notice must be inserted manually:
    - for MS Word templates: there is a text box at the bottom of the first column (for identifying sponsors) that can be used.
    - for latex templates: insert the following commands right after the \documentclass:


    where notice_text must be replaced by the applicable copyright notice, depending on the author's affiliation, as described above.

Copyright transfer

  • IEEE policy requires that prior to publication, all authors or their employers must transfer to the IEEE in writing any copyright they hold for their individual accepted papers. To do so, our conference has available the electronic copyright form, which can be accessed by corresponding authors (i.e. those who uploaded the manuscript) through our ConfTool submission website. Please log in using your username and password. Go to “Your submissions” and search for each of your accepted papers. On the right hand side, click on the link “Electronic Copyright Form” to access the form that will be submitted to IEEE. Complete the form and click on the submission button. Once the submission has been successfully completed, a copyright icon will be displayed on the entry of that paper within ConfTool.

  • If you fail to do the copyright transfer electronically, please fill in, scan and email the standard IEEE copyright form to the Publications Chair of the conference. The form can be downloaded here.
